The holiday season is now almost upon us and with it may come the odd spare hour or two to spend getting ready for the new season. Below are 8 little helpful hints administrators can follow over the off season to keep the star shining brightly over your website and membership database.
Registrations
1. Update your products
The best thing to do with your products for the new season is to copy the existing ones, even if the price remains unchanged. Once you've copied them, update the price (if need be) and the product reporting season and you should be good to go.
2. Check the season settings
Associations are able to update the seasons set for their database and their clubs (unless seasons are set at a National level). Making sure the 'New Registration Season' is correct is crucial in ensuring all registrations go into the correct season. Be sure to check these settings before the new season registrations commence.
3. Update registration form
Rather than creating new forms, in many cases you will just need to update your previous seasons registration form. Updating products, references to dates and any other season specific information should be all you will need to do.
Websites
4. Remove any unnecessary pages
Having too many pages can make it difficult for your members to find what they're after. Look to de-clutter your website by either removing redundant pages or moving content to the relevant pages.
5. Fading news layouts
The fading news layouts available on all Standard websites are a quick and easy way to make your news articles look sleek. If you're not utilising them, consider jumping on board during the off season.
6. Provide holiday period information
Be sure to include a note on your website of what your club or associations movements are over the holiday period.
Membership database
7. Make sure your club/association contacts are up-to-date
The contacts listed in your database are important not only for your members but also to ensure that any communications sent out to club treasurers for example, hit their target and reach the right people.
8. Run reports to check for any missing information
Running a report to see which members have key contact information missing, or haven't filled out a particular field correctly is important in keeping your database accurate. This is often something that gets bypassed but can be crucial in ensuring that your members are able to be contacted through the correct channels.
